Advancement Logistics Coordinator

Postion Summary

The Advancement Logistics Coordinator will effectively plan, organize, manage and execute high quality event logistics for Institutional Advancement, including the Annual Athletic Fundraiser, Founders’ Week, Annual Business Luncheon, Two Rivers Gala, Receptions and other donor related events.  Maintain master calendar and track all event goals, budgets, timelines, quotes, invoices, purchase orders and agreements/contracts.  Coordinate and execute pre-planning logistics and day-of-event event logistics to include preparation, set-up, and tear-down at event sites and/or venues, along with serving as point of contact for vendors supporting décor, sound, lighting, photography and videography.  S/He must be able to work independently, manage multiple projects simultaneously and possess the ability to work under pressure to meet competing deadlines. S/He must be able to work flexible or extended hours including weekends, as needed.  

Duties

       Responsible for effectively executing high quality event planning from event production, coordinating communications, overseeing logistical details and creating and monitoring event budgets for Institutional Advancement, including the Annual Athletic Fundraiser, Founders’ Week, Annual Business Luncheon, Two Rivers Gala, receptions and other donor related events.  Serve as logistical support with the Office of the President’s events team, as needed

       Coordinate and execute pre-planning logistics and day-of-event event logistics to include preparation, setup, and tear-down at event sites and/or venues, along with serving as point of contact for décor, sound, lighting, photography, videography and video editing.

       Working closely with the Director of Development, leadership, members of the development team, committee members and others to achieve event fundraising goals in the coordination of annual committee meetings, developing agendas, monitoring action items and engaging committee members.

       Serve as the point of contact for venues and coordinate calls, meetings and walk-throughs.

       Maintain master calendar of divisional events and track all event goals, budgets, timelines and agreements/contracts.

       Secure event dates with venue in advance and coordinate the signing of agreements and licenses for approved event dates.

       Oversee tracking of event budgets, contracts, quotes, invoices, purchase orders and payments, along with preparing forecasted income and expenses based on event budget.

       Coordinate the review, approval and signature of artist riders, contractors and vendors.

       Assist in the coordination and solicitation of silent auction items and in-kind contributions.

       Maintain relationships with individuals, contracted event planners, vendors and organizations contacts in an effort to renew their support each year.

       Coordinate with College’s food service provider and/or caterer to ensure event meals are requested timely and delivered seamlessly.

       Secure goods and services donations for silent auctions from donors and volunteers.

       Work with Facilities Management to ensure that event spaces are properly set up, clean and in proper working order.

       Serve as point person for third-party fundraising events benefitting Tougaloo College.

Required Knowledge, Skills and Abilities

       Bachelor’s degree in Business Administration, Management, Marketing or a related field with two to three years of experience in managing fundraising or major events.

       Demonstrated leadership with an entrepreneurial, collaborative and results-oriented approach to lead and drive the production of high quality events.

       Highly organized and able to prioritize and produce under pressure, even willing to pull their sleeves up to get the job done.

       Ability to maintain creativity while working in a fast-paced work environment.

       Experience managing and implementing multiple projects.

       Excellent relationship management and interpersonal skills with an ability to work effectively and display superior judgment and diplomatic skills.

       Excellent verbal and written communications skills.

       Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

       Flexibility to work late evenings and occasional weekends due to the nature of events.

       Strong organizational, planning and problem-solving skills.

       Ability to work well independently and within a team.

       Possesses meticulous attention to detail.
